We are currently seeking a detail-oriented and motivated Project Administrator to join our team.
Job Description:
The Project Administrator will provide vital support to the business, ensuring that all administrative functions are carried out efficiently and in a timely manner. The role requires coordination, communication, and documentation skills to assist in the successful delivery of transport and logistics projects. This includes assisting in scheduling, budgeting, reporting, and resource allocation across various projects, while maintaining a high level of accuracy and compliance with industry standards and regulations.
Key Responsibilities:
Project Coordination: Support the team in planning and executing projects by maintaining detailed project plans, tracking progress, and identifying potential risks or delays. Documentation Management: Manage project-related documentation, including contracts, permits, compliance documents, technical reports, and project correspondence. Budget and Financial Tracking: Assist in monitoring project budgets, processing invoices, tracking expenditures, and preparing financial reports. Ensure adherence to the project's financial guidelines. Scheduling: Assist in preparing and maintaining project schedules, tracking key milestones, and ensuring that timelines are met. Communication: Act as a point of contact for internal teams, suppliers, contractors, and clients. Prepare project status updates and communication for stakeholders. Procurement and Resource Management: Support procurement activities by coordinating with vendors, managing purchase orders, and tracking the delivery of materials and services required for the project. Risk Management: Assist the team in identifying risks and issues and maintain a risk register. Support in implementing mitigation measures where necessary. Compliance and Safety: Ensure that all project activities comply with industry regulations and safety standards. Maintain records of inspections, audits, and compliance reports. Administrative Support: Organize meetings, prepare agendas, and take minutes during project meetings. Maintain an organized filing system for project documents. Reporting: Assist in the preparation of regular project status reports, dashboards, and presentations for internal and external stakeholders. Qualifications:
Education: Diploma or degree in Business Administration, Project Management, or a related field. Certification in project management is a plus. Experience: Minimum of 2-3 years of experience in project administration or coordination, preferably within the transport and logistics industry. Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Project) and project management software (e.g., MS Project, Primavera, or similar tools). Communication: Excellent verbal and written communication skills with the ability to convey complex information clearly and concisely. Organizational Skills: Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines. Attention to Detail: High level of accuracy and attention to detail in managing project documentation and financial data. Team Player: Ability to work effectively as part of a team and collaborate with diverse stakeholders across departments. Problem-Solving: Proactive approach to problem-solving, with the ability to anticipate potential issues and implement solutions. Summary of Role Requirements:
