Your role at St John of God Midland Hospital
St John of God Midland is looking for an experienced Personal Assistant to provide a high standard of secretarial and administrative support.
The Position
Proactively provide a high level of personal assistance, secretarial and clerical support to Directors through the following functions:

Maintaining confidentiality.
Answering and screening phone calls.
Managing various Director's diaries and email accounts.
Undertaking word processing, spread sheeting, PowerPoint and Visio functions as required.
Meeting Management (in consultation with Chair where applicable):
Preparing Annual Calendar of meeting dates and booking of rooms and catering, if required.
Preparation and circulation of agenda and meeting packs as per Terms of Reference.
Minute taking at meetings, follow-up action items as required.
Vigilance over Electronic management notification systems – HR, Finance, MyPay, Expense Management ensuring prompt attention/authorisation by appropriate Directors.
Data entry/ordering via various application tools on Compass (e.g. Daily Productivity, Expenses) and other external websites (FcM Travel, Print Media Group, Kulbardi).
Function/Event organisation where required.
Maintaining a flexible attitude to the daily schedule to address unexpected changing priorities.
Organising and managing delegation authorities when required, office equipment and stationery requirements.
Maintaining an electronic directorate filing system on the Shared Drive to ensure safekeeping and archiving of documents.
Creating a welcoming and hospitable environment both personally and via telephone and written communication.
Liaising with and maintaining effective and cooperative communication with Directors, Managers, Caregivers, Group Services Executive and external organisations.
Meeting and greeting visitors where appropriate.
All other reasonable duties as directed by Manager/Supervisor.

Position Requirements
You will hold a Certificate in Secretarial Studies or demonstrated work experience in a PA or senior secretarial role supporting a managerial role with, accurate and efficient typing, document control. Experience in meeting minute taking, data entry skills with advanced MS Office suite skills and the ability to type at 65+wpm is essential.
To succeed you will have the ability to complete work accurately under pressure and hold communication skills including the ability to draft emails, letters, memos, standard reports and other correspondence on behalf of Directors and the ability to display documentation in a professional manner. You will have interpersonal skills with the ability to communicate effectively with Executive, Managers, caregivers, the public and other external stakeholders in a courteous manner whilst conveying a high level of professionalism and confidentiality.

We can offer you

Salary: $79,823 to $81,406 per annum, plus 11.5% superannuation.
A Permanent full time position, working 76 hours per fortnight.
