Gold Coast Community Legal Centre – Southport QLD
Reporting to and working collaboratively with the CEO while maintaining strict confidentiality and discretion, the Operations and HR Officer implements daily operations and HR obligations and drives long-term organisational capability aligned with Gold Coast Community Legal Centre's vision and strategies across all of the Centre's programs.
The Operations and HR Officer will support the transformation of the organisation to ensure that the short, medium, and long-term goals of the Strategic Plan, strategic initiatives, and operational matters are met to ensure the smooth running of the Centre.
As an Operations and HR Officer, you will play a crucial role in ensuring our operations run seamlessly. You will be a natural organiser, driven to support our team and enhance our operational efficiency. This role is perfect for someone looking for a varied role with a "can do" attitude.
This role is rewarding, working as part of a team aiming to achieve the Strategic Goals of the Centre, providing access to justice for the Gold Coast's most vulnerable and disadvantaged people.
This position is for 6 months, ending no later than 30 June 2025 due to funding. However, there is the possibility of extension depending on funding commitments beyond 30 June 2025. This position is for 3 days per week (22.5 hours per week).

Summary of key duties:
Diary maintenance Making travel arrangements Updating internal databases, mailing, and other lists Preparing and sending emails and other correspondence as required Maintaining files and other records to ensure these are up to date Photocopying, printing, filing, scanning, faxing Handling confidential and sensitive documents ensuring they remain secure Obtaining, preparing, and collating CLASS and other reports, data or materials as required for reporting or other purposes Research and collation of statistical and other data for planning, tendering and other purposes Attending to maintenance of training and other HR records Ensuring that forms, checklists, and other documents are maintained and kept up to date Maintenance of the Centre's policies, procedures and supporting documents Maintenance of the Centre's insurance policies and file records Effecting Association Incorporations Act and other legislative and/or statutory requirements Maintenance of the Centre's membership register Organisation of the Centre's AGM Archiving and destruction of documents Qualifications and Prerequisites
Tertiary qualifications in business and/or HR At least two years' experience in a similar or a level role You have a growth mindset and a positive attitude Strong ability to work cooperatively and collaboratively in a team environment, proactively sharing information across Teams Great communication skills with internal teams, and external clients and stakeholders A strong sense of responsibility and able to demonstrate initiative A great work ethic with self-motivation and reliability Understanding, empathy and a care factor for the people you work with Proven experience in a scheduling, forecasting and operations role Strong attention to detail and organisational skills A proven commitment to safety in the workplace An enthusiastic and positive approach to all duties Able to work unsupervised or as part of a team and sharing your knowledge with others Excellent communication skills, both written and verbal Duties of the position

Ensure the Centre remains compliant with building requirements, such as electrical checks, smoke alarms, pest control and other ongoing maintenance requirements Maintain the Centre's annual WH&S training resources for staff Upkeep of relevant schedules and registers held by the Centre, including but not limited to Schedule of Dates, IT equipment register, Incident Register, Conflict of Interest Register and so forth Monitor and identify risks relevant to the Centre's legal practice, and ensure that staff and volunteers understand their responsibilities and comply with the Centre policies, procedures, guidelines, service standards and practices as required in the provision of their work Immediately report to the Centre's CEO any risks, incidents or non-compliance with legal or other requirements relating to the Centre's legal practice, as guided by the Centre's risk consequence matrix Operational services
Assist with volunteer clinics and programs run by the Centre to support the Supervising Solicitor and Principal Solicitor Work with the CEO to establish and maintain relevant and user-friendly referral pathways, both internally between staff and externally received by the Centre Ensure the Centre remains compliant with operational tasks such as holding an AGM, completing Annual Surveys, ensuring Cross Checks and Accreditation procedures are completed, training requirements of staff and other matters that arise Ensure outreach offices operated by the Centre are fit for use and have adequate resources and equipment to provide services from Human Resources
Support the CEO and Principal Solicitor with effective recruitment, professional development opportunities, performance management, staff retention opportunities and procedures Assist in induction and orientation of new staff and volunteers Assist the CEO in complying with HR obligations and responsibilities to staff and volunteers Maintain confidentiality in assisting the CEO in worker profiles, documents and record-keeping practices Networking, liaison and promotional work
Supervise and co-ordinate involvement of the Centre's professional staff in networks, promotional and other related activities as determined by the Centre's CEO Assist and support the Centre's CEO to establish, maintain, develop and strengthen the Centre's links with relevant networks and organisations; and undertake networking, liaison, promotional and related work, as required Service Matters
Have a comprehensive knowledge of the Centre's various policies, procedures, guidelines service standards and practices as they may exist from time to time, together with a good understanding of the Centre's long-term goals Assist and support the Centre's CEO with the implementation of Centre service development matters and other initiatives as required, including but not limited to implementation of the Centre's Operational Plan Work co-operatively with the Centre's Senior Management Team to ensure the smooth running of the Centre Reporting, Meetings & Other General Matters
Assist and support the Centre's CEO with reporting and related matters, including but not limited to: Collection of statistical and other service information as required, ensuring that all client notes are completed and submitted by professional staff and volunteers in accordance with Centre requirements Ensuring that monthly service reports are completed as required Co-ordination and collation of case studies to meet reporting and other requirements Convening of regular professional staff meetings; and ensuring the retention of minutes of those meetings as required Attendance at other meetings including regular supervision meetings with Centre's CEO, meetings of the Centre's Senior Management Team, staff and other meetings as required Undertaking various other administrative tasks relevant to the position including computing, word processing/typing, filing, and photocopying Research Sharing internal housekeeping chores Complying with the policies, procedures and guidelines of the Centre, as they may exist from time to time Undertaking other duties as directed from time to time Please submit a resume and Cover Letter (2 pages) outlining:
