We work hard but have fun while we're doing it.The RoleThe OTTWA Administration Coordinator provides general support and coordination of the administrative functions of OTTWA rehoming program, ensuring the smooth operation of our initiatives aimed at rehoming retired racehorses.The successful team member will work closely with the management team to facilitate efficient communication, manage documentation, and coordinate administrative tasks to support the overall mission of OTTWA.Key Responsibilities include:Provide administrative support to the manager, liaising with the OTTWA Retrainers, prospective buyers, internal RWWA staffMaintain accurate and up-to-date records, horse rehoming paperwork including EOI's and waivers, financial documents for the sale, and correspondenceBook Murdoch University health intake visits and liaise with OTTWA ManagerBook and monitor all horse movements to and from the EstateManage all payment processes to Retrainers, suppliers, Network Retrainers and intake rebates to trainersLiaise with the Manager and Animal Welfare Marketing team to engage followers for promoting OTTWA initiatives and sale of horses. Assist with social media platforms, writing and post updates to social media channels and websites as requiredAssist with the implementation of equine welfare initiatives, e.g. SafeHouse and work with the Sponsorship and Partnership co-ordinator to assist with the administration and partnerships for this and other projectsRegularly update and maintain records of OTTWA horses available for rehoming, including their profiles, retraining program, medical histories and current statusManage OTTWA passports for all horses that are part of the OTTWA Retraining & Rehoming programResponsible for ordering feed, equipment, medication and supplies as directed by the managerAssist with generating reports and analyse data to track program effectivenessAbout YouAbility to work in a team and autonomously to deliver outcomes.Proven experience in administrative roles in a busy environment managing competing deadlines.Demonstrated high level communication skills both written and verbal, with the ability to effectively interact with diverse stakeholdersHigh level attention to detail and accuracy in the execution of workWell-developed computer literacy skills with Microsoft Office 365Strong problem-solving skillsDemonstrated delivery of high-level customer serviceKnowledge and understanding of different equestrian disciplines to assist organisational requirements.Experience with Thoroughbreds and/or Standardbreds in racing or retirement.Experience with retraining retired racehorses.What are you waiting for?Apply now with your CV and cover letter telling us why you're the perfect fit for this opportunity.As part of the recruitment process, you will be required to complete Pre-Employment screening, which will include two reference checks, police clearance and Australian Working Rights check.Please note this role is only open to applicants that hold Australian Working Rights and we do not offer Work Sponsorship Visas.Additional benefitsPersonal learning and development budgetHybrid and flexible work arrangements17.5% loading on Annual LeaveHealth and wellness initiatives to support you inside and outMaternity and paternity leave entitlements availableAt Racing and Wagering WA, we recognise that we are strengthened by diversity of gender, thought, experience, and ethnicity.
