About the Department of Home Affairs Our mission is to protect Australia’s border and manage the movement of people and goods across it.We are responsible for immigration and customs border policy. We manage the Migration Programme, the Humanitarian Programme, Australian citizenship, trade and customs, offshore maritime security and revenue collection.Our operational enforcement arm, the Australian Border Force, is responsible for our investigations, compliance and immigration detention operations offshore and onshore, across our air and seaports and land and maritime domains.Our work supports the Australian Government to achieve: strong national security; a strong economy and a prosperous and cohesive society.The work we do touches every part of Australian life—industry and commerce, trade and travel, our national security, protecting our community and enforcing our laws, the security of our offshore maritime resources and environment. Overview of the Branch and Section The position is within the Financial Operations Branch. The Branch provides; travel management, fleet management; credit card management; financial accounting services including the production of financial statements; asset management; treasury and banking services; management of the Departments taxation processes; and the provision of the Departments financial framework. The Travel, Fleet and Credit Cards Section manages the Department’s travel, fleet and credit card contracts, develops associated policies and guidelines and provides administrative support to the broader department. The travel team provides travel system training to all staff and user groups across the country, manages and reports on compliance with Whole-of-Australian-Government (WoAG) policies and engages with stakeholders regarding business IT system changes. About the Role The Travel Manager role is responsible for a range of activities focused on the management of a suite of travel related products and services in accordance with the Whole of Government (WoAG) Travel management services contract and the Department of Home Affairs (HA) business framework. The Department conducts operations both domestically and internationally and has offices and sites across Australia as well as around the world. Staff are required to travel within onshore and offshore locations, and between sites to deliver a wide range of services and activities. The breadth of the Departments activities is vast and includes a variety of functions to execute its mission to protect Australia’s border and manage the movement of people and goods across it. The Travel Manager will work under the broad direction of the Director Travel, Fleet and Credit Card Section. The Travel Manager will undertake travel management services, contract management activities and day-to-day travel administrative tasks. Excellent stakeholder engagement skills, communication skills and the ability to respond to clients in a professional and timely manner is a business imperative in this role. The Travel Manager will possess sound data analysis skills, financial knowledge, sound decision-making skills and an ability to manage and organise work in the context of competing/conflicting priorities and interests often within short time frames. Specific Duties The role is responsible but not limited to the following duties: Management of travel day-to-day functions and contracts including sponsored passports, domestic and international travel.Effectively manage collaborative working relationships with the Whole of Australian Government (WoAG) travel suppliers including monitoring service levels.Management of day-to-day travel activities including a travel helpdesk support and financial treatments and reconciliations.Management of staff workloads and workflows of travel related activities and functions via various communications platforms. Negotiate and liaise with stakeholders to resolve difficult or sensitive issues.Manage complex customer relationships with internal and external stakeholder.Provide policy and/or technical advice on travel related matters, including maintaining knowledge of relevant legislations and regulations.Reviewing, update and/or developing travel related policies and procedural guidelines as required in line with the Whole of Government contract.Prepare and evaluate complex submissions, briefs, reports, and other correspondence as required.Manage contracts to drive efficiencies and savings relating to departmental travel expenditure.Expertise in data analysis, financial knowledge and sound decision-making skills in the context of competing/conflicting priorities. Role Requirements The following skills are highly desirable; Excellent written communication and negotiation skill, sound judgement and decision-making.Sound knowledge of relevant legislation, regulatory and compliance frameworks as they relate to Departmental Travel Whole of Australian Government contract.Strong attention to detail, ability to manage multiple tasks and work within tight deadlines.
