The Position

This position will provide executive and administration support to the Executive Assistant and across the Business, Growth & Community Directorate.

Responsibilities

KEY RESPONSIBILITIES:
Provide executive assistance to the Business, Growth & Community Directorate and Executive Assistant including, researching issues, document preparation, diary and meeting management, responding to telephone and email enquiries, travel arrangements and administration support.
Track issues through the organisation on behalf of the Executive Assistant and follow up delegated tasks with Service Clusters.
Prepare agendas, take minutes, prepare notes, and follow up actions for Committees and Working Parties.
On a rotational basis, prepare and coordinate the Council meeting, Pre-meeting Briefing Sessions and Community Forum agendas, minutes and associated actions within strict time lines and under public scrutiny.
Develop and maintain up to date digital content for social media and the AlburyCity website.
Provide administration support across the Directorate as required.
Assist with the collation of Executive, Council, Monthly and Annual reports.
Perform other tasks or duties as directed by the Supervisor which are within the limits of the employee's skill, competence and training.
Observe requirements of the WHS Legislation, relevant to the job and adhere to AlburyCity Policies and Procedures regarding WHS.
Observe appropriate AlburyCity Policies and Procedures regarding day to day operations including Equal Employment Opportunity policies, AlburyCity's Dress Code and Standards Policy and AlburyCity's Code of Conduct.

Based on a 35 hour week, with actual days and times being Monday to Friday, 8.30am to 5pm, with an RDO in accordance with AlburyCity's RDO guidelines.
This position will involve work outside normal working hours. Additional hours over the standard 35 hours will attract a time in lieu arrangement or payment of overtime rates as agreed in advance with your supervisor.
There is a requirement to attend Committee and Council meetings as needed in accordance with the Council Business Meeting Cycle.
This position does not require you to wear a compulsory uniform, however you must follow the dress code requirements within the AlburyCity's Our People Dress Code Standards.
This position involves working in a predominantly indoor environment and using a computer is considered a core component of the role. There may be occasional visits to other work locations. The position requires an average level of aerobic and physical fitness to undertake occasional physical activities, such as walking and lifting, along with general manual handling tasks as part of a normal working environment. A medical declaration is required for this position.
This position requires evidence of a current Australian National Police Check.
This position is subject to alcohol and other drug testing.
This position is located at the AlburyCity Administration Building, 553 Kiewa Street, Albury with occasional visits to external sites/depots as required.
Essential Criteria
Certificate IV in Business Administration or related discipline or equivalent, relevant work experience.
Desirable Criteria
Class C (standard) Driver's Licence.
Experience
Significant experience delivering executive support within a diverse organisation.
Specialist Knowledge And Skills
Extensive knowledge in the use of a variety of software applications including, MS Office suite, Adobe, Docs Assembler and TRIM.
Highly skilled in word processing demonstrating speed and accuracy.
Proven ability to research and write correspondence, reports and submissions.
Strong skills and experience in:
Minute taking, agenda and minute preparation
Local Government operations
Digital and website content development and maintenance
Diary management
Travel arrangements
Administration support
