The Executive Support Officer will work as a team member providing administrative and secretarial support to the Director of Anatomical Pathology, the Director of Surgical Pathology and other senior Anatomical Pathologists within the Division of Anatomical Pathology and Cytopathology.
The position also supports a wide range of administrative support to the Central Anatomical Laboratory and Central AP Admin team as required under the Direction of the Officer Supervisor.Key Responsibilities:Adhere to defined service quality standards, health and safety policies and procedures relating to the work being undertaken to ensure high quality, safe services and workplaces.Provide secretarial support including clerical and administrative support to the Director of Anatomical Pathology, the Director of Surgical Pathology and other Anatomical Pathologists within Anatomical Pathology.Manage appointments, teleconferences and meeting venues.Prioritise and manage incoming correspondence and telephone messages and proficiently prepare letters, memoranda, reports and audiovisual material using ancillary office suite software.In collaboration with the Divisional Quality Coordinator, assist in the management of the pathologists' external quality assurance program.Liaise, communicate and maintain effective relationships with all levels of staff and clients.Undertake other support duties as required relating to the requirements of the Office of the Director Anatomical Pathology and service delivery requirements of Anatomical Pathology as directed by the Office supervisor, including medical typing and referral case handling.Assessment Criteria:Highly developed interpersonal and communication skills, both verbal and written, and the ability to deal with people at all levels of the organisation, external agencies and the public in a tactful and, where necessary, confidential manner.Proven ability to work autonomously to manage and prioritise workloads to meet deadlines and to show initiative and problem-solving skills.Organisational skills and the ability to use initiative and be adaptable in a changing and dynamic environment.Demonstrated ability to use a wide variety of computer software and maintain accurate records.Current knowledge of medical terminology and well-developed keyboard and data entry skills.Qualifications and Requirements:While not mandatory, experience in medical office administration and medical terminology would be highly regarded.How to Apply:Please provide the following information to the panel to assess your suitability:A short-written response (maximum 1-2 pages, dot points acceptable) on how your experience, abilities, knowledge and personal qualities would enable you to achieve the key responsibilities and meet the skill requirements of the role.Your current CV or resume, including two referees who have a thorough knowledge of your capabilities, work performance and conduct within the previous two years.
