The Opportunity
We have an exciting opportunity available for a dynamic Executive Assistant to provide administrative support to the Senior Executive (Hub Lead) in ahm.
This role will play a pivotal part in providing administrative and organisational support to the Hub Lead and to champion the overall culture of ahm.
You will be the right-hand person, proactively identifying opportunities, predicting requirements, and implementing solutions. You will be the first point of contact to ensure their effectiveness and impact.
As the Executive Assistant, you will play a significant role in proactively considering the effective function and productivity of the Hub Lead and the leadership team as a collective, as well as considering the needs of the broader business.
Key Responsibilities will include:

Leading and coordinating the delivery of an annual national offsite.
Planning meetings, end-to-end diary and travel management, coordinating onboarding/offboarding, team events, and administrative systems when required.
Ensuring events and meetings are scheduled in advance, agendas/meeting packs are created, and the leadership are informed of all relevant information in order to make the most of each session (i.e., monthly huddles and quarterly planning).
Ensuring the Hub Lead is provided with all tools of trade and requirements.
Being the face of the team to internal and external stakeholders and building meaningful relationships.
Managing and coordinating the ahm calendar of Operating Rhythm to ensure meetings are scheduled in advance, agendas ready, and all facilitators are briefed and prepped accordingly.
Team Engagement – maintaining close relationships across all levels of the team, proactively identifying key areas and teams needing support and engagement and discussion with the Hub Lead.
Monthly corporate MasterCard reconciliation for the Hub Lead and self, (direct reports as requested by the Hub Lead).
Providing support in Ariba where required (invoicing, receiving, and adhoc).

About You
To be successful in this role, you will have at least 3 years' experience within a Personal/Executive Assistant role and can maintain a high level of confidentiality and professionalism and build and maintain positive and effective working relationships.
You will ideally come with c-suite level experience and have worked in a large organisation.
You will have a naturally proactive approach to work and thrive on always being one step ahead of the game. The ability to forward plan, proactively identify risks and opportunities is essential.
You will be flexible, forward-thinking, and solutions-focused, with a strong focus on attention to detail and be exceptionally organized.
You will also need to have strong administrative experience and be a confident communicator whose expert coordination skills ensure deadlines are met. You will be a go-getter and thrive on being a team player!
