WE CARE, WE WORK TOGETHER, WE MAKE A DIFFERENCEExecutive AssistantBased in convenient Sydney CBD location with WFH flexibilityAbout the role:We are seeking a dedicated and experienced Executive Assistant to provide exceptional support to our General Manager, Insurance and Chief Information Officer. You will provide high-level executive and administrative support while being flexible and highly responsive to allow the Executives to focus on fulfilling the operational and strategic objectives of the business.In addition, you will on occasion provide backup for other Executive Assistants in the business, as required. This role may occasionally require travel to other Coal Services offices, and you must hold a current NSW drivers' licence.Your main responsibilities include:Manage the Executives' diaries, schedule meetings, functions, conferences, and organise travel and accommodation.Draft and prepare board papers, reports, financial presentations, agendas, minutes and briefing notes.Provide timely and accurate administrative support including handling correspondence and maintaining effective filing systems.Plan and schedule your work efficiently to meet deadlines and manage competing priorities.Ensure high levels of support even when under heavy workloads and tight deadlines.Assist with various projects including speech writing and research.Build and maintain effective relationships with internal and external stakeholders.About you:Your education, experience and skills will include:Minimum three years' experience as a Personal/Executive Assistant at an executive level.Advanced skill level in the use of Microsoft Office Suite with the ability to learn new software as needed.Excellent oral and written communication skills including writing for a range of audiences in a variety of formats, including board reports.Strong interpersonal communication and relational skills, demonstrated ability to function in a collaborative environment and build and maintain strong relationships with our internal and external stakeholders.Can operate autonomously and anticipate the needs of the Executives through initiative and situational analysis.Good judgement, flexibility, and patience; discretion in dealing with confidential and sensitive matters.Highly detail oriented with meticulous attention to detail, planned approach to follow through with work projects, including systems for tracking follow up and corrections.Strong organisational skills, a demonstrated ability to manage and prioritise multiple tasks, work under pressure and deliver to tight time frames.What we offer:Autonomous role with a collaborative and professional environment.Permanent, full-time role.Competitive salary package.7.25-hour days, Monday to Friday.5 weeks annual leave, 18 days personal leave & 3 days family and emergency leave.Paid Parental Leave for permanent employees.Reward and Recognition program to celebrate your success.Retailer discounts through Smart Spending App.Access to Employee Assistance Program and novated leasing.About us:Coal Services is a Specialised Health and Safety Scheme that provides an integrated suite of services to help identify, assess, monitor, and control many risks inherent in the NSW coal mining industry.
