About the Role We are currently seeking a highly organised Executive Assistant to provide administrative support to the Vice President (VP) of operations.
This is an exciting opportunity to be part of an industry-leading organisation committed to innovation and sustainability within the transport sector.
As the Executive Assistant , you will be pivotal in ensuring smooth operations and supporting the leadership team to meet key business objectives.
In this dynamic and varied role, you will provide essential administrative and organisational support to the VP and their management team.
Key responsibilities include: Calendar Management : Coordinate and manage the VP's schedule, including meetings, appointments, and travel arrangements Correspondence Support : Assist with drafting responses and conducting background research for the VP, ensuring timely and professional communication Documentation & Reporting : Organize and prepare reports, presentations, and meeting materials.
Maintain accurate filing systems, both electronic and physical, for sensitive documents Stakeholder Liaison : Act as the first point of contact for visitors, staff, and contractors, managing queries and ensuring effective communication Event Coordination : Assist in planning and organising company events, meetings, and functions Expense & Travel Management : Prepare expense reports, process invoices, and coordinate travel arrangements, including flight bookings and itineraries.
About You To succeed in this role, you will bring: Excellent Organisational Skills : You thrive in a fast-paced, ever-changing environment and have the ability to manage multiple priorities Strong Communication Abilities : You have impeccable written and verbal communication skills, and can engage with people at all levels Tech-Savviness : Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable using various digital tools for administrative tasks Attention to Detail : You have a keen eye for detail, ensuring that no task is overlooked and that all communications and materials are professionally prepared.
