Company DescriptionThe Executive Assistant plays a pivotal role in supporting the Managing Director, ensuring the smooth operation of the Brisbane Offices.This dynamic position involves direct engagement with executive and senior-level stakeholders, as well as overseeing the functional operations of the Brisbane Offices. We seek an agile, energetic, and passionate individual who thrives on tackling a diverse and exciting range of responsibilities—from coordinating high-profile events to driving internal communications. This role requires a positive, driven professional who will serve as a key liaison between all cross-functional teams and offices, embodying strong interpersonal skills and impeccable organisation.Job DescriptionThe day to day includes but won't be limited to: Provide proactive, strategic support to the Managing Director, anticipating needs and opportunities to enhance efficiency and effectiveness. Act as a central liaison between the Managing Director and all teams, ensuring seamless communication and strong relationships across the business. Manage the calendar with foresight, balancing demands and strategically planning ahead to ensure smooth operations. Prepare documents and presentations with attention to detail and a focus on professionalism. Coordinate events and meetings, handling logistics with precision and ensuring everything runs smoothly. Oversee budget-related tasks with strong organisational skills, ensuring efficient management. Administer invoices and expenses promptly, meeting all deadlines. Coordinate travel arrangements and detailed itineraries, ensuring thorough planning. Stay across all ongoing activities within the business, acting as the go-to person for information and ensuring the Managing Director is always informed. Promote effective collaboration between cross-functional teams and offices, ensuring alignment and communication. Uphold confidentiality and maintain professionalism in all interactions and responsibilities. Proactively maintain a log of commitments, ensuring timely follow-ups and strategic oversight of all key matters. Identify and solve problems, ensuring smooth office operations and continuously improving processes. QualificationsEnough about us, let's talk about you! What we would like to see on your resume: Proven experience as an Office Assistant/Manager, Personal Assistant or Executive Assistant, effectively supporting leaders. Exceptional interpersonal skills, with a friendly and professional demeanor. Ability to build and maintain strong internal and external relationships, working with a diverse range of backgrounds and cultures. Mature and proactive approach, with a strategic lens for identifying and addressing gaps and driving continuous improvement. A go-getter attitude, committed to supporting the Managing Director and excelling in day-to-day execution. Advanced skills in Microsoft Office and Google Suite. Experience in office management, event coordination, and logistics. Strong proficiency in collaboration and delegation, ensuring efficient task management. Exceptional organisational, project management, and problem-solving skills, with the ability to multitask effectively. Aptitude for thinking quickly and decisively under pressure, ensuring smooth operations and effective problem resolution. Marketing, PR, or communications background is highly desirable.
