Event Management (Marketing & Communications) Located in the heart of the CBD in a small, dynamic and professional team for this South Australian industry leading company who currently services over 100 clients and stakeholders at a senior management and executive level incorporating industry leaders, government officials, sponsors, members and key stakeholders.

Reporting to the CEO, this hands-on Events and Program Coordinator position provides support across the team to coordinate and execute a wide range of events that are targeted to stakeholders and industry professionals.
This is a position offering permanent part-time hours of approximately 3 to 4 days with flexibility due to the nature of event hours.
Position Responsibilities… This role will be responsible for the planning and execution of the 2025 events calendar and beyond, planning and executing approximately twelve annual events ranging from CEO lunches for twenty people to an Annual Gala Dinner for 300 plus and an industry National conference.
This position involves managing event logistics from conception to completion, including venue selection, vendor coordination, participant management, and on-site event execution.
The position collaborates closely with internal teams, external stakeholders, vendors and sponsors to ensure seamless event delivery aligned with organisational objectives including:
Create and manage the events calendar that aligns with industry events/activities.Work closely with the CEO on the coordination and ongoing management of event sponsorship.Develop and manage event budgets, track expenses, and ensure expenditures align with allocated funds and financial guidelines.Oversee event setup, coordinate activities, manage staff and volunteers, and address any issues that arise during events.Delivery of all aspects of event from invitations, theming, speakers, event location, menu planning and budgeting.Liaise with vendors and suppliers to procure services and products necessary for events, ensuring cost-effectiveness and quality.Source and secure appropriate venues for events, negotiate contracts, and coordinate setup, catering, and technical requirements.Ensure events comply with relevant regulations and WHS standards.Co-ordinate event and communication activities including social media marketing and event promotion.Cultivate relationships with sponsors and partners, negotiate agreements, and ensure deliverables are met to enhance event success and funding.Proactively establish and maintain excellent relationships with media representatives.Conceptualise, plan, and coordinate logistics ensuring all aspects are meticulously organised and executed.The timely and accurate distribution of all event related information to internal and external stakeholders.Provide broader office based administrative support outside of events as required.The ideal person for the position… We are looking for an events and functions professional who has proven and demonstrated experience with a full suite of function operations including client management, preparation of detailed event, events logistics, management of an events calendar, managing sponsor relationships and sourcing speakers and or event entertainment.
You must be able to work independently and hands on to deliver end to end event solutions and bring events to life and be present during operational delivery of key events including working evenings and weekends, as required.
What we consider essential... 3 – 5 years experience in events and program coordination.Experience working in event coordination across a variety of size and focused events.Experience coordinating larger events of above 200 plus attendees.Experience sourcing guest speakers and entertainment.Advanced computer literacy skills including design and CRM programs.A superior approach to stakeholder, client, vendor and sponsorship relationships.High levels of financial acumen and understanding of accounts and expenditure.Exceptional calendar and diary management skills.Strong analytical and problem-solving skills where you can anticipate challenges.Ability to work well under pressure and ensure smooth event operations.Strong organisational skills, attention to detail, and effective communication are essential to successfully execute events that enhance engagement, uphold brand standards, and achieve desired outcomes.
