W Sydney is now casting for a dynamic and detail-oriented Event Coordinator to assist the Event Planning team to plan, manage and coordinate residential and day meetings, conferences and events (including social and weddings). Reporting to the Senior Event Planning Manager or their direct report, the Event Coordinator is responsible for administration and operational support to ensure consistent, high-level service throughout pre-event, event and post-event phases of property events.
The successful candidate will have a passion for the hotel and events industry, is eager to build a career with W Hotels and Marriott International and possess excellent verbal and written communication skills and high attention to detail.
CORE RESPONSIBILITIES Be proficient in the hotel's event management and database system. Prepare event documentation and Banquet Event Orders on a timely basis and to agreed standards. Create deposit requests and ensure that contracts and any required deposits are returned by the agreed option dates. Posting and reconciling of charges related to the group/event and ensure accounts are closed in a timely manner. Ensures billing accuracy and conducts bill reviews with the clients prior to processing the final bill. Submit Marriott Bonvoy points post event in a timely matter. Assists with setup of operating procedures. Performs other duties as assigned to meet business needs. Attend weekly BEO meetings and any other required meetings as required for key internal stakeholders and ensure well versed in all events they are managing. Undertake memorable & tailor-made Insider Tours as required. Prepare client proposals, contracts, pro forma invoices, presentations, reports and general communication. Establish close working relationship with Group Management Team to ensure seamless residential event planning process for clients. Establish and maintain strong working relationships with partners, suppliers, and vendors. Organise and be the main point of contact for internal Hotel events. Demonstrates self-confidence, energy, personal, manages time well and builds a positive work environment. Talent Profile Education & Experience Required Higher Diploma or Bachelor Degree in Business Management and/or Hotel/Tourism Management. Minimum one year experience in a hotel environment or have completed an internship in a business environment. Possess excellent verbal and written communication and Microsoft Office skills, and a high attention to detail. Ability to work in a fast-paced environment with strong organisational and interpersonal skills and prioritisation of tasks.
