EA/Office Manager for leading Australian fashion brand. As the E.A. and Office Manager at one of Australia's leading e-commerce fashion brands, the primary objective of your role is to provide comprehensive administrative support to the founder whilst managing the efficient operation of the office / workplace. This combination role requires you to be versatile across a wide range of administrative tasks, including supporting the team in their administrative tasks and with HR functions, office management duties and support for the CEO.

- Provide high-level administrative support to the executive, including managing calendars, scheduling meetings, making travel arrangements, preparing documents and presentations, and handling correspondence.Office Management:
- Oversee the day-to-day operations of the office, ensuring smooth functioning and efficiency, including managing office supplies, equipment, facilities, and vendor relationships.Communication Liaison:
- Act as a liaison between the executive and internal/external stakeholders, facilitating communication and ensuring timely responses to inquiries.Project Coordination:
- Assist with project management tasks as requested, such as coordinating team meetings, tracking deadlines, and ensuring that projects stay on schedule.Administrative Efficiency:
- Streamline administrative processes and implement best practices to improve efficiency and productivity within the office.Problem-Solving:
- Anticipate and address issues that may arise in both administrative and operational aspects of the role, proactively finding solutions and making recommendations for improvement.Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality and discretion, particularly when dealing with executive matters or confidential company data.Tasks:
These tasks require strong organisational skills, attention to detail, excellent communication abilities, and the ability to prioritise effectively in order to support the executive and contribute to effective teamwork across the organisation.
Executive Management: Calendar Management: Scheduling meetings, appointments, and events for the executive, ensuring their calendar is organised and optimised.Email and Correspondence: Handling and prioritising email correspondence, drafting responses, and managing the executive's inbox.Travel Arrangements: Making travel arrangements, including booking flights, hotels, transportation, and preparing travel itineraries.Document Preparation: Creating and formatting documents, reports, presentations, and other materials as needed.Expense Management: Managing expense reports, processing invoices, and reconciling expenses for the executive.Filing and Record Keeping: Organising and maintaining electronic and physical files, records, and documents in a systematic manner.Communication Liaison: Acting as a primary point of contact for internal and external stakeholders, relaying messages, and handling inquiries.Event Planning: Assisting with the planning and execution of office events and gatherings.Strategic Support: Providing strategic support to the executive, such as conducting research and preparing background materials.Legal Support: Liaising with legal counsel and preparing background materials.Project Assistance: Assisting with special projects or initiatives as assigned by the executive.Relationship Management: Building and maintaining professional relationships with key stakeholders, clients, partners, and other individuals relevant to the executive's role.Personal Assistance: Assisting with personal appointment planning and communications.Office Management: Meeting Coordination: Coordinating meetings, including scheduling, preparing agendas, arranging facilities, and taking meeting notes.Office Supplies and Management: Ordering and maintaining office supplies and equipment to ensure smooth operations.Facilities Management: Overseeing office maintenance, repairs, and cleanliness, as well as managing relationships with building management and vendors.Administrative Support: Providing general administrative support, such as answering phones, scheduling appointments, and assisting with office tasks as needed.Team Support: Coordinating Team Meetings: Organising regular team meetings, including scheduling and distributing relevant materials.Administrative Support: Providing general administrative assistance to team members, such as handling correspondence or organising documents.Communication Facilitation: Serving as a central point of contact for team members, relaying messages, and ensuring effective communication within the team.Travel Arrangements: Making travel arrangements, including booking flights, hotels, transportation, and preparing travel itineraries.HR Support: HR Employee On/Off Boarding: Set up and maintaining personnel records.Payroll: Managing weekly timesheets.This is a fantastic opportunity for someone who is impeccably organised and perhaps works in retail or fashion. There will be a handover with the incumbent EA (who cannot speak highly enough of the founder), with the view to you taking over at the end of October.
