Document Controller
**Your new company**
Your new organisation is part of the State Government who are a key stakeholder in the development & delivery of a very broad portfolio of projects spanning all functional areas of rail infrastructure, rolling stock and operations.
**Your new role**
- Registration of new projects in DMS, booking out of existing drawings and registration of new document numbers
- Working with Project Managers, Project Engineers and Subcontractors, ensuring DMS process is complied with during the lifecycle of the project
- Check in and return of drawings into the DMS database through the close out phases of the projects, ensuring submissions comply with the DMS standards
- Preparation of reports to communicate the issues identified in a concise and consistent format to the project managers and stakeholders
- Reviewing previously identified issues and providing recommendations to ensure potential risks are identified, to ensure project is closed out correctly
- Proactively provide Government Organisations DMS advice and guidance across the organisation including collaboration and upskilling where needed
- Develop internal audit information management and improve processes to identify areas of improvement and minimise time lost as a result of document rejections, corrective actions and rework
- Ensuring at project completion, drawings are catalogued and endorsed from relevant stakeholders ensuring removal of errors or duplications
- Promoting and strengthening good recordkeeping practices and information management
- Assisting in the preparation of project status reports, for stakeholders and project team
- Understand, act on and monitor compliance with information and communications security using and use policies accordingly
- Provide support with other tasks from time to time, as directed by management
**What you'll need to succeed**
- Tertiary Qualification in Business Administration or similar relevant qualification in Information, Records & Document Management (highly desirable)
- Minimum of 1+ years relevant work experience in Document Control
- Demonstrated experience in managing DMS
- Experience managing Rail industry documentation (advantageous)
- Good communication skills with demonstrated ability to tailor communication style to suits the variant of different audiences
