Key Responsibilities Process HR forms as required and maintain staff files
Maintain staff leave tracker, leave diary and staff rosters
Maintain the complaints register and prepare the quarterly report
Check fortnightly Establishment Report
Excellent written and oral communication skills
Actively participate as a team member in meeting branch objectives
Prepare monthly team meeting agendas and prepare meeting minutes
Accounts payable and Accounts Receivable, including SAP
Fortnightly reconciliation of Salary Report
Purchasing of general office supplies via SDS Online as required and Merchandise for sale/distribution
Prepare EOM Analysis/Forecast
Completion of the monthly JP Branch business report; corporate card expense reports
Process of Travel Management System applications and travel expense claim forms online.
General office duties as delegated by Registrar or Team Leader.How you will be assessedThe ideal applicant for this role will be someone who can demonstrate the following key attributes as they apply to the key responsibilities of the role. • Supports Strategic Direction - the ability to provide high-level administrative support to senior management and other staff including maintaining confidentiality of information.• Achieves Results - The ability to interpret instructions quickly, prioritise conflicting work demands, meet deadlines and work under pressure to ensure tasks are completed within given timeframes.• Supports Productive Working Relationships - An ability to build and maintain effective working relationships with staff at all levels and with external clients.• Displays Personal Drive and Integrity - A working knowledge, or the ability to acquire rapidly a working knowledge, of financial and human resources policies and processes relevant to the operation of the division.• Communicates with Influence - You communicates clearly and concisely and adapt your communication style to the audience. You display proven knowledge and experience with the area of computer literacy skills in a number of applications and databases such as Word, Excel and Notebook These attributes are based on the Queensland Public Service (QPS) Capability and Leadership Framework and have been tailored for this department.Career Development The Justices of the Peace Branch consists of approximately 17 full time staff located primarily in Brisbane.
