Commercial Administration Support

BMS is seeking a talented Brand Team Administrator to provide administrative and project support to the brands within the Oncology business unit. The Oncology business performs a crucial role in driving sales & marketing activities behind some of BMS's most vital oncology therapies. In this role you will be expected to utilise your project management, administration and organisation skills to drive excellence.

Responsibilities include:
Liaises with internal stakeholders to understand and deliver to requirements
Provides personal assistant support to senior leaders (e.g. travel, calendar, expenses)
Works with Global Purchasing, compliance and brand team members to support and track projects for brand team.
Organise and execute (logistics and planning) small internal meetings for HO or state based sales meetings and works with meeting lead to support content development of large meetings for brand teams
Financial administration (Purchase orders, contract management, SAP, invoice reconciliation). Includes using project tracking sheets to assist product manager to manage budget
Support the Materials approval process (red/green folders) to ensure speed of transition between stakeholders
Promotional materials inventory and logistics management from warehouse
Provides support for new team members to on-board and integrate as required
Proactively manages communications to brand teams to support brand lead in managing team
General administration (e.g. stationary , mailings, printing)
Maintain detailed knowledge of current travel & expense (T&E), Contracts or Procurement, Purchase Order (PO), Promotional & Non-Promotional Material policies and processes for the team as lead by the BUD / Functional Lead (Your Team) and address all initial queries by team members about how to comply with those policies and processes.

Essential Experiences, Skills & Qualifications:
Minimum of 2 years administration/project management experience, preferably in a fast paced global corporate organisation
Demonstrable ability to effectively communicate key information
Proficiency in project management
Strong organisational/administration skills
User knowledge of finance systems processes e.g. Concur, SAP, Ariba
Understanding of pharma compliance guidelines desired
Proficiency in software applications Word, PPT & Excel
Demonstrable record of collaboration and working with passion, accountability and speed
