APS6 Executive Assistants (Multiple Vacancies) (Affirmative Measures Disability)Canberra ACTApplications close at 11.59pm AEST Monday 7 October 2024.The Executive Assistant works closely with the Executive Officer to provide administrative and operational support directly to the Deputy Secretary. The role requires a high level of professionalism, discretion, and initiative in dealing with sensitive and/or confidential matters. The role provides direct exposure to the Executive, a diverse range of policy, operational and management issues, and high-level collaboration, communication and coordination within DFAT, Ministers Offices, and across government.We are seeking collaborative, self-motivated officers who take initiative and display excellent judgment and flexibility in undertaking work that is sensitive. You will require strong organisational, administrative, and coordination skills, and the ability to meet tight deadlines and manage multiple priorities. Acceptable evidence includes:certificate or letter signed and executed by a registered medical practitionerletter from a Disability Employment Servicea statutory declaration confirming you live with a disability.The key duties of the position include:Provide efficient executive support services to Deputy Secretary through meeting coordination including diary management, liaison with internal and external stakeholders including workflow, and providing high-level organisational and administrative support.Actively manage the Deputy Secretary's workflow and diary including prioritising submissions and briefings, meetings, and correspondence. Assess competing priorities and propose recommendations.Provide mentoring and guidance to new staff.Coordinate procedural, operational (including IT, security, and property), administrative and business support activities to contribute towards agreed outcomes.Arrange travel and coordinate acquittal requirements.Prepare correspondence, co-ordinate briefings and manage office systems and records using Microsoft Office, SAP, and Teams.Model inclusive leadership and DFAT values. Always act in a manner that advances the reputation of the Group as professional, open and responsive.Please note the position requires regular handling of highly classified information. These information requirements need to be accommodated in any flexible working arrangement.Under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the Australian Public Service (APS) unless the Agency Head has agreed otherwise, in writing. Depending on the role into which you are placed, you may also be required to obtain and maintain a Working with Vulnerable People/Children registration (or equivalent).The department requires the successful candidate to obtain and maintain a Negative Vetting 2 level security clearance unless the position to be filled has been designated as a higher classification. Loss of a security clearance at any time may lead to termination of employment. In some instances, employees may be able to commence in the department on a Temporary Access arrangement prior to their security clearance being finalised.The filling of this vacancy is intended to constitute an affirmative measure under Section 33 of the Australian Public Service Commissioner's Direction 2022.
