We are seeking an Administrative Support Officer to provide Support for our Adult Retrieval Department. This is a Full Time, Fixed Term (until December 2025) position. While WFH/Hybrid options are available, it is essential that the successful applicant maintains a presence at Essendon Fields in line with our hybrid working model.
About the roleReporting to the Operations Manager Adult Retrieval Victoria, responsibilities of this position include, but are not limited to:
Oversee the delivery of effective and efficient office and administrative services within ARVAct as the initial point of contact for the Adult Retrieval department by screening calls, answering routine enquiries, and processing messages for follow-up/action/referralProvide secretarial support at meetings, including preparation of agenda items and supporting documentation, and recording, preparing and distributing minutesOrganise meetings, workshops, and related functions for ARV, including arranging attendance of participants, venue, catering, travel and accommodation arrangements and itineraries in compliance with relevant Government policy & practice and where appropriate preparing and distributing relevant documentsAbout youTo be considered for this position you will possess a tertiary qualification in business, human resources, or related experience in this discipline. Other requirements include:
Demonstrated extensive experience and expertise in providing secretarial and administrative support at a senior management levelDemonstrated experience in the development and maintenance of administrative systemsProven experience in using computerised financial information systems and proficiency with Microsoft Office applications including Outlook, PowerPoint, Word, Excel, and the InternetEffective interpersonal and influencing skills to gain acceptance and support of ideas, and the ability to modify style to accommodate situations, tasks and individualsStrong conceptual, analytical & problem-solving skills to identify issues and where appropriate recommend appropriate actionWorking at Ambulance VictoriaAs a valued member of AV you will enjoy a professional working environment that recognises the importance of work/life balance.
